MANAGER FUND ADMINISTRATION AND OPERATIONS
Job Description
Job purpose
To lead the administration and operational control of all managed funds and Collective Investment Schemes, ensuring accurate and timely NAV approval, complete fund accounting, effective investor servicing, reliable unit registry records, and compliant processing of subscriptions and repurchases. The role is accountable for the quality of work produced by Fund Accounting and Fund Operations and for maintaining clear segregation of duties across investment management, fund administration, custody, settlement, and distribution.
Principal responsibilities
Establish and maintain the operating framework, procedures, service standards, cut-off times, and control checklists for fund administration and investor transactions.
Plan and oversee daily, monthly, quarterly, and annual fund administration activities so that NAVs, investor transactions, reconciliations, statements, and reports are completed within approved timelines.
Review operational exceptions, delayed transactions, unmatched funds, pricing issues, and client-impacting incidents; approve corrective action and escalate material matters promptly.

Coordinate operational activities with Investment Management, Sales, Compliance, Risk, Information and Communication Technology, custodians, trustees, banks, auditors, and other service providers.

Review and approve daily or periodic Net Asset Value calculations and unit prices prepared by the Senior Specialist Fund Accounting in accordance with scheme documents, approved valuation policies, International Financial Reporting Standards, and regulatory requirements.

Ensure that approved pricing sources, valuation hierarchies, accrual methods, fee rates, and corporate-action treatments are applied consistently across all funds; review unusual NAV movements, stale or unavailable prices, valuation overrides, and NAV errors; ensure that each exception is documented, independently checked, corrected, and reported where required.

Oversee the preparation of fund financial statements, management accounts, expense reports, Total Expense Ratio calculations, and supporting schedules.

Oversee investor on-boarding, Know Your Customer checks, Customer Due Diligence, account maintenance, subscriptions, unit allocations, switches, transfers, distributions, and repurchases processed by the Senior Specialist Fund Operations; ensure that units are issued or cancelled only after the required documentation, cleared funds, applicable NAV, cut-off rules, approvals, and maker-checker controls have been confirmed.

Maintain oversight of the unitholder register and ensure that total units in issue reconcile to fund accounting records and approved NAV calculations.

Monitor turnaround times rejected or incomplete applications, unallocated cash, repurchase payments, investor complaints, and recurring service issues.

Ensure timely reconciliation of cash, investment holdings, unsettled trades, income, expenses, units in issue, and investor balances across the fund administration system, general ledger, custodian records, bank statements, and investment records; review aged reconciliation items and assign clear owners and resolution dates; escalate material or recurring breaks to the Senior Manager Fund Management and relevant control functions.

Oversee payment and settlement instructions relating to investments, fund expenses, distributions, and repurchases, subject to delegated authority and dual-control requirements; coordinate liquidity information and expected investor cash flows with Investment Management without assuming responsibility for portfolio investment decisions.
