ABOUT THE ROLE

We are looking for a highly organized and detail-oriented Dispatch Clerk to coordinate the efficient dispatch of products, maintain accurate dispatch records, support loading and invoicing processes, and ensure timely product deliveries. The successful candidate will play a critical role in supporting the distribution function by coordinating vehicle dispatches, generating reports, and ensuring all dispatch activities comply with company procedures and quality standards.

KEY RESPONSIBILITIES

• Prepare and process dispatch documentation, including delivery notes, dispatch schedules, invoices, and transport records.

• Coordinate the loading and dispatch of products to customers, distributors, and other destinations according to approved schedules.

• Verify quantities, product specifications, and the condition of goods before dispatch to ensure accuracy and prevent losses.

• Generate daily dispatch, loading, delivery, and market performance reports.

• Prepare loading plans and support invoicing activities.

• Maintain accurate dispatch records and ensure all documentation is properly filed and accessible.

• Monitor stock movement and report discrepancies, shortages, damages, or variances to the supervisor.

• Liaise with warehouse, sales, and transport teams to facilitate efficient deliveries.

• Track vehicle departures and deliveries and communicate dispatch status updates to relevant stakeholders.

• Receive, verify, file, and reconcile proof of delivery (POD) documents against dispatch records.

• Ensure all dispatched products meet company quality standards and customer requirements.
